1. Define which glass needs attention
For a shop or office, “the windows” might mean display glass, entrance doors, interior partitions, or windows behind desks. List the areas separately and say whether you want the inside, outside, or both cleaned. This gives the team a clearer starting point for discussing access and timing.
Note displays, furniture, blinds, window film, and signs attached to the glass. Ask what needs moving and who will handle it. Do not remove decals or shift heavy fixtures just to prepare for a quote. If screens, tracks, or sills matter to you, list them and confirm their treatment in the agreed scope.

2. Share quieter time windows
Opening hours alone do not tell the full story. Include busy customer periods, deliveries, appointments, staff meetings, and times when a display area is being restocked. Offer a preferred window and an alternative, then ask the cleaning team what is workable.
For example, a shop might have steady lunchtime traffic but a quieter midmorning period. An office might need interior glass handled outside a scheduled meeting. These are examples to discuss, not a promise that a particular slot or after-hours service is available.
Ask how long the proposed work is expected to take and whether different areas can be addressed in an agreed sequence. Leave room for the team to assess the property; a quick description of the shop does not establish a reliable job duration.
3. Choose one contact for the visit
Name the person who can meet the crew, confirm the work areas, and answer questions during the visit. If that person leaves before completion, identify a replacement and explain the handover. Make sure the staff working that day know an appointment has been arranged.
For leased premises, check with your property manager about shared entrances, exterior glass, parking, and any contractor arrangements. Confirm who can authorize work on each area. Share access instructions through an agreed private channel; avoid putting alarm codes or other security credentials into a general estimate form.
Separate access to the outside from access to the inside. An exterior-only request still needs a conversation about gates, common areas, and any restrictions around the building.
4. Agree on a plan for customer movement
Explain which doors customers use and which routes staff need throughout the day. Discuss how the work area and equipment will be kept separate from people entering or leaving, including any signs or temporary restrictions that need coordinating.
NIOSH’s workplace guidance recommends keeping walkways free of trip hazards and addressing slippery spills. Use those basics as a reason to discuss entrance conditions with the crew before work begins.
If an entrance cannot be used safely during the work, agree with the team and property manager on suitable timing or another workable plan. Do not assume a sign alone solves an access problem. Let staff know about any agreed changes before customers arrive.
